Working with us

Getting your content to us

There are three ways to get your photo show content to Virtual Memories.

  • If you live nearby, you can bring it here in-person. Call for an appointment and directions or drop it in our convienient drop box.
  • If all your content is already in digital format, you can upload it to our server.
  • If you have a mix of digital and print content, you can package and ship your camera cards, CDs, photos, slides, negatives and memorabilia to us. We'll provide you with the shipping information during our consultation.
Sending images and music electronically

Digital images and music can be uploaded through this website. You can also email your photos and music files as attachments. Please the instructions on How to Upload Photos in our Customer Center.

Shipping digital images

You can send us your photo CD or camera card: we can handle virtually any camera card type. Pictures will be copied and downloaded from these camera cards. You will get your camera card back with all the pictures on it unchanged. (If you don't have a digital camera and haven't developed your prints yet, order a photo CD with your prints. They are usually about $2-3 at Wal-Mart, Rite-Aid etc.) After our initial consultation we will instruct you where to mail your photos, camera cards, photo CDs, and music CDs. Please note that it is always preferable to send a copy rather than the original. Many local providers like Kinko's or Staples can make a copy on CD so that the memory module from your camera does not have to make a round trip to Virtual Memories. If you are sending multiple CD's, make sure that each is in an individual plastic case or paper envelope, and that all are packed so as not to be damaged in transit.

Shipping film images

Photos. To prevent any bending during shipment, it is best to ship your photos in a box with cushion material. If you have various groupings, you can carefully bind the pictures together with a rubber band or put them in separate envelopes or ziploc bags. Label each group of photos with a title and we will scan each grouping into a folder of that name.

Negatives. You may group and send your negatives in whatever order you have them. If you have groups of negatives of various subjects, you may label each grouping with a title and they will be scanned into a folder titled for each subject. To prevent bending during shipment, send them in either a small box or if you use an envelope, you can place them between two cardboard pieces to keep the envelope stiff.

Slides. Depending on the total number of slides you are sending, you may want to bind them together in groupings, or separate in envelopes or plastic bags. Pack your slides using protective cushion material to prevent bending or other damage during shipment. If your slides are in carousel projector trays and you prefer not to take them out, you can send them to us in the order you have them and we will scan and replace them in the same order. Just keep in mind your shipping cost will increase as a result of the increased package size and weight.

Packaging

Photos and music on CD can be mailed in a secure package via Priority Mail. Priority mail usually takes about 3 days to receive. The post office has free flat rate shipping boxes and envelopes in various sizes. Flat rate envelopes are 12.5" x 9.5" and cost $4.05 to mail. Flat Rate boxes come in two sizes: 11.8.5x5.5 and 117/8x3 3/8x13 5/8". Both can be any weight, any state. No matter which Flat Rate Box you choose, the postage is $8.10, regardless of weight or destination. Additional information is available from the US Postal Service.

The materials that you send to Virtual Memories are often precious. Please be sure to pack them appropriately and always insure the package that is sent. For irreplaceable images in albums, you may wish to bring your photographs to the Virtual Memories studio directly, rather than ship them, and pick them up when the project is complete. No matter how your images reach us, Virtual Memories will handle them with great care and will return them to you in their original condition.
